How it was introduced

The company decided to set up a new document management office to organise internal documents and improve security, and was looking for a way to manage the removal of important documents while reducing the burden on the manager. The company wanted to move away from paper-based management and use RFID for more efficient management, and approached us for a one-stop solution, from the selection of UHF tags to the supply of hardware, system design, installation and customisation support.
Pre-implementation issues

①Handwritten loan management is cumbersome and prone to inaccuracies
The paper-based loan/return process was time-consuming and inaccurate, resulting in problems such as materials not being found when needed, or materials not being returned for a long time and their whereabouts not being known.

②The task of taking inventory is a heavy burden.
The half-yearly stocktaking of materials was carried out visually, which required a lot of manpower and took a lot of time. In addition, there were problems with the accuracy of the inventory information, for example, the actual goods could not be verified even though they were in stock in the data.

③Unauthorised removal cannot be prevented
In traditional document storage rooms, there was no clear security regarding the removal of documents, and there were cases where documents were taken without recording the removal history, leaving the whereabouts of the documents unknown.
Introduced solution.
Operation flow
We have developed a lending management system that allows users to easily carry out lending procedures by affixing UHF band RFID tags to the materials. Personal authentication is done using employee IDs, and the IC tags attached to the materials are read by a UHF antenna to carry out the checkout process. When an unprocessed document passes through the gate, an alert is displayed.

Key points of introduction
We were responsible for affixing tags to approximately 50,000 managed items and registering system IDs. Our company has a track record of introducing IC tag systems to many public libraries and accumulating know-how on where and how to install which tags using what methods, as well as smoothly migrating data from existing ledgers and lists to the IC tag system (with a track record of affixing to over 7 million managed items in total). We also carried out the standardization of the existing database’s organization and registration process this time. *We also have extensive experience in using IC tags for asset management of various equipment, not just books.

Simplification of lending/return procedures

Anyone can easily check out materials by simply holding their employee ID card and the desired item up to the system. Users can search for materials and check them out/return them by themselves using the touch panel terminal, reducing the burden on administrators.
Efficient inventory management

The inventory management work that used to take several days with multiple people is now done by only one person in just a few tens of minutes thanks to UHF band RFID, which is good at bulk reading multiple tags at once
Prevention of unauthorized checkouts

By conducting checkout procedures with an IC gate in addition to the lending/return process, we were able to reduce the burden on users and improve the security of important documents. Materials that were taken out without processing and became missing are no longer a problem.
